Route optimization

Also called routing software, route planning, dynamic routing

Route optimization is the process of deciding which stops each truck serves and in what order to minimize drive time, fuel, and labor while meeting service windows and truck capacity. It is done by planners, software, or both.

How it works

An optimizer takes inputs: stop locations, container types, service days, truck capacities, driver hours, disposal facility locations, and constraints like time windows and one-way streets. It then builds routes that reduce total drive time and distance while respecting those constraints.

For route-based collection, the main goal is to balance workload across routes and days so each truck finishes near its shift length without overflowing. For on-demand work like roll-offs and junk removal, optimization is more dynamic. New orders arrive during the day, and dispatchers fit them in around current truck positions and landfill trips.

Good optimization needs good data. Wrong addresses, missing gate notes, or out-of-date container sizes produce poor routes. GPS and telematics data show actual travel times, which improve estimates over time.

Why it matters for your business

Fuel, driver hours, and truck wear are some of your largest costs. Even small gains per route add up across a fleet over a year. Good routes also make service more reliable, with fewer missed stops and fewer late-night finishes.

Routing also touches customer experience. When your dispatch system knows where trucks are, you can give accurate delivery windows to roll-off customers, send arrival texts, and answer “where’s my driver” calls in seconds.

The link to sales is direct. When your route data and CRM talk to each other, a new lead can be checked against existing routes before a quote goes out. That keeps the sales team from signing accounts that wreck a route. TrashTech can connect your CRM to the routing and dispatch tools you already use.

Common questions

Do small haulers need routing software?

Not always. A single truck on a stable route may do fine with a map and experience. As routes, trucks, and on-demand work grow, software helps.

Does optimization replace dispatchers?

No. It handles the math. Dispatchers handle exceptions.
